CLINICAL CASE PRESENTATION
The Ceylon College of Physicians invites you to submit case reports/ case series for consideration of the award for CLINICAL CASE PRESENTATION at the 59th Anniversary Annual Academic Sessions, which will be held from September 16th to 19th, 2026.
ONLY ASSOCIATE MEMBERS and FULL MEMBERS are eligible to apply for this award.
Selected candidates will be invited to do an 8-minute presentation at the Annual Academic Sessions. This will be followed by a 2-minute question and answer session.
The best clinical case presentation winner will be announced at the end of the session.

31st July 2026, 12 midnight, Sri Lanka Time
GUIDELINES FOR SUBMISSION
- All case reports/series must be submitted electronically online through the CLINICAL CASE PRESENTATION website google form.
- • Authors may submit either:
a. A standard submission including author names and affiliations, or
b. An anonymous submission without author names and affiliations for reviewer evaluation purposes - Hard copy submissions or case reports/series sent via email to the CCP Office will NOT be accepted
- All case reports/series should include patients’ written consent for publication and the consultant in charge’s approval.
- If selected for presentation, all the authors should declare any conflicts of interest during their presentation at the Annual Academic Sessions.
- The CCP reserves the right to make alterations and edit the contents of the case reports /series to improve presentation quality and ensure conformity with the general style.
INSTRUCTIONS FOR ONLINE SUBMISSION
- A. Submitting a case report/series
- Please ensure that the email address entered in the submission portal is accurate, as all further communications will be via the given email address.
- You are required to upload the case report/series as a Microsoft word document (.docx file) during the submission. It should be formatted according to the guidelines given below.
- Please check if all information entered are accurate prior to submission. You will not be able to edit the information once submitted.
- Applicants submitting an anonymous case report/series should ensure that the uploaded document does NOT contain author names, affiliations, acknowledgements, or any identifying information within the document properties or body text.

GUIDELINES FOR FORMATTING OF THE ABSTRACT
• The title of the paper should be concise and the CCP reserves the right to modify the title if necessary. Title should be in BOLD CAPITAL LETTERS
• State whether the paper is a “case report” or “case series”
• For standard submissions, the author(s) name(s) should be in the format of last name/surname followed by the initial(s). Please DO NOT use prefixes such as Mr/Dr/Prof. (E.g. Smith AB).
• The presenting author should be underlined.
• A superscript number should be placed after each name to refer to the respective affiliations. (e.g: Smith AB¹, Silva CD²). The affiliations should be listed below the authors in order.
• For anonymous submissions, please DO NOT include author names, affiliations, acknowledgements, institution names, or any identifying information in the uploaded document.
• Please DO NOT include the title, names of the authors, institutions, sub-headings or any tables/graphs/figures or references within the body of the main text. Only the text of the case report should be included.
• The case reports and case series must be structured as follow with the subheading:
- Introduction
- Case presentation
- Conclusions
• Any patient identification details need to be removed from the photographs/ figures.
Photographs/figures should be included at the end of the report in the uploaded Word document, with appropriate titles/captions.
• The body of the case report MUST NOT exceed 250 words.
• The MS Word document should be formatted as follows: - Font: Times New Roman
- Font size: 12
- Spacing: Double line spacing
- The language of the submission should be set to English (UK)
GUIDELINES ON PRESENTATION
- The presenting author MUST be a FULL MEMBER or ASSOCIATE MEMBER of the Ceylon College of Physicians
- Presentation must be in English language
- Presentation should be on Microsoft Power point
- Presentation time is 8 minutes followed by 2 minutes question time with judging panel
IMPORTANT NOTICES
• Please note that no amendments to the submitted case report (including the author list) would be entertained after closing of submissions.
• Case reports not conforming to the above instructions will be rejected.
• Accepted case reports presented at the Annual Academic Sessions will NOT be published in the CLINICAL CASE PRESENTATION book.
• The Ceylon College of Physicians reserves the right to make alterations and to edit the title and / or the text to improve the quality.
• A panel of reviewers will review the case reports anonymously, and the decision of the Scientific Committee will be final. Successful applicants will be notified via email.
• Once shortlisted, the presenting authors of the selected papers must register for the Conference for the paper to be finally accepted by the College.
• Please provide the name of a stand-in presenting author who should also be a FULL MEMBER or ASSOCIATE MEMBER of the Ceylon College of Physicians (in case the original presenting author is unable to attend).
• Failure to make a presentation once participation is confirmed will be considered an episode of academic/scientific misconduct, and the authors will be liable for punitive action.
• The author/s should take full public responsibility for the work and the contents reported in the CLINICAL CASE PRESENTATION.
